Privacy notice

Bangladesh Theatre Caravan 2026 is organised by the Department of Theatre and Performance Studies, University of Dhaka, together with CIRCUS, the Centre for Interdisciplinary Research in Culture, Urbanization and Society. Together they decide what personal data the festival collects and why, and they are the controllers of it.

HaorGrix builds and operates this website on the organisers' behalf and only processes data on their instructions.

We collect personal data in two situations.

• When a company submits a production through the open call: the company's name and country; the production's title, director, language, runtime, synopsis and a link to a preview recording; the name, email address and phone number of a contact person; the name, role and NID or passport number of every person who would travel with the production; and anything typed into the notes field. This is used to review the submission, to communicate the outcome, and, for selected companies, for venue accreditation and visa processing.
• When anyone visits the site: a salted hash of the visitor's IP address and their browser's user-agent string are stored with each submission to detect abuse of the form. We never store the raw address. If you accept analytics cookies, Google Analytics also records which pages you visit and how you reached them, in aggregate, so we can see which parts of the site are read. Analytics is off until you accept it.

NID and passport numbers are the most sensitive thing this form asks for. They are stored encrypted, are never included in the emails the system sends, are shown only to festival staff who sign in to the administration area, and are shared only with the venues and immigration authorities that require them for accreditation and visas of selected companies.

Whoever fills in the form is responsible for having each listed person's agreement to share their details with the festival for these purposes. The form asks you to confirm this before submitting.

We process submission data on the basis of your consent, given by ticking the box on the form, and thereafter because it is necessary to run the selection you have entered. We process analytics data only with your consent. You can withdraw consent at any time by writing to the office; withdrawal does not affect processing that already happened.

We use a small number of service providers to run the site. Each receives only what it needs.

• Neon (database hosting) stores submissions.
• Zoho Mail delivers the confirmation and office emails.
• Hetzner hosts the web server, in Germany.
• Google Analytics, only if you accept analytics cookies.
• The venues and immigration authorities involved in accrediting and admitting selected companies.

Submissions from companies that are not selected are deleted within 30 days of the selection announcement on 15 October 2026, that is, by 15 November 2026.

Submissions from selected companies are kept for the festival's duration and deleted by 31 March 2027, apart from records the organisers must keep for accounting or legal reasons.

Abuse-detection hashes are deleted with the submission they belong to. Analytics data is retained by Google Analytics for 14 months.

You can ask for a copy of the data we hold about you or about a person you listed, ask us to correct it, or ask us to delete it. Write to hello@bangladeshtheatrecaravan2026.com quoting your submission reference. We answer within 30 days.

If you believe we have handled your data unlawfully, you may complain to the data protection authority in your country.

The public site sets no cookies unless you accept analytics, in which case Google Analytics sets its own cookies to tell returning visitors apart. Your choice is remembered in your browser. The staff administration area uses one session cookie to keep staff signed in; it is never set for visitors.

If this notice changes, the new version is published here with a new date. Changes that affect how a submission already made is used will be emailed to the contact person.
